Client Profile
A fantastic opportunity has arisen with this world-renowned hotel group for an experienced Personal Assistant to join their team, at their UK head office in west London. The role assists the Director of Sales & Marketing with the management of the UK-wide team, as well as his day-to-day role and responsibilities. This position will also liaise with main international Sales & Marketing office overseas.
Job Specification
- Manage phone-email contacts and agenda with DOSM
- Manage selected internal and/or external projects and files from start to finish
- Prepare quality PowerPoint presentations and documents
- Organise meetings and conferences
- Prepare and distribute meetings minutes and follow up on action points from minutes
- Manage and distribute a monthly Sales and Marketing internal e-newsletter
- Manage a monthly dashboard with results, reports and calendar of events
- Assist in preparing and following yearly cost budgets for the department with Finance
- Assist in controlling costs through existing finance reporting
- Manage DOSM purchase orders and travel requirements
- Produce monthly expense report for DOSM
- Manage the department’s staff files (letters, contracts, etc.) and regularly update database
- Produce job descriptions and candidate profiles, manage interviews, and check references
- Advertise roles on accorjobs.com and liaise with recruitment agencies
- Coordinate car fleet needs and usage, mobile phones and laptops with IT and finance
- Check and manage holiday forms and requests
- Propose and manage a training development programme based on appraisals
- Select and manage training providers, implement training schedules and provide reports
- Manage staff induction programmes and staff integration (laptop, business cards, mobile etc)
- Your key contacts will be: Country MD, Heads of Departments, Hotel GM’s, and other managers at the UK and Group Head Office in Paris.
Person Specification
Experience in a similar role is highly desirable. Candidates must have excellent organisational skills, be well presented and demonstrate good attention to detail. Candidates should also be numerate, responsible and able to manage projects and deal with a wide variety of people to very senior level. Advanced knowledge of PowerPoint, Excel and Word is essential. Candidates must be fluent in written and spoken English and French would be an asset. Candidates should have good interpersonal skills, be innovative, honest, self assured and a strong team player.
Remuneration
£24,000 + 10% bonus
